Creating an item

Β 1. Create a new item

  • Go to the Items / Inventory tab.

  • Click Create New Item in the top-right corner.

  • Enter the required basic details:

    • Item name

    • Category

    • Mark whether the item expires (important for medications)

  • Optional setup:

    • Set a restock alert threshold (for example, alert when only 5 remain)

    • Upload an image

    • Scan or override the barcode

    • Add a cost range

    • Add a buy more link

    • Add notes

  • Click Save when finished.

2. Confirm the item was created

  • Open the newly created item.

  • Check the item details to confirm it exists in the system.

  • Notice that the item shows 0 available and is out of stock.

  • This means creating the item does not automatically add inventory quantity.Β 

3. Start the restock process

  • To add stock, use the Restock option.

  • You can either:

    • Click Restock this item from the item page, or

    • Use the plus (+) button at the bottom of the screen and choose Restock Items

  • This opens the restock workflow for adding inventory to a storage location.

4. Choose a storage location

  • Select the storage location where the stock should be added.

  • These locations are pre-created and may represent different sites or rooms.

  • In the example, the user selects Upstairs Storage Closet at Central Clinic.

5. Add the item and quantity to the restock basket

  • Add the item you just created.

  • You can scan the barcode to find it quickly.

  • Enter the quantity being added.

  • Optionally set the expiration date for the stock.

  • The item is added to the restock basket for that storage location.

6. Save the restock

  • Click the top-right corner action to complete the restock.

  • This finalizes the stock addition for the selected storage location.

7. Verify the stock was added

  • Go back to the item record.

  • Confirm the item now shows the correct available quantity.

  • Open the Stock tab to verify the units were added to the expected storage location.
